At RSHRIS, we are committed to protecting the privacy and security of your personal data. This Privacy Policy explains how our mobile application, RSHRIS Field Force (referred to as the "App"), collects, uses, processes, and secures information related to employees who use the App.

1. Information We Collect

To provide attendance marking, location verification, and client visit reporting features, the App collects the following types of information:

2. Specific Data Features & Permissions

A. Location Tracking (GPS Coordinates)

Our App tracks your precise location **only when you explicitly perform one of the following operations**:

• Start Day: Captures your exact location coordinates at the beginning of your workday to register your attendance location.
• Stop Day: Captures your location coordinates at the end of your workday to record your sign-out position.
• Client Visit: Captures your location when you file client marketing, sales, or support reports to verify that you visited the specific client office location.

We do not continuously track or store your location history in the background when the App is closed or when you are off-duty.

B. Camera Access (Selfie Verification)

The App requires access to your device's camera to capture a verification photo/selfie during:

• Marking Start Day (Sign-in)
• Marking Stop Day (Sign-out)
• Filing a Client Visit report

This photographic verification is utilized by your employer to verify the identity of the employee, prevent buddy punching, and maintain attendance integrity.

3. How We Use the Collected Information

The collected data is processed solely for the following business purposes of your employer:

• To record and verify employee daily attendance logs.
• To enable field-based employees to submit reports for client visits (marketing, service, support).
• To allow employees to apply for leaves, overtime (OT), and check their attendance balance.
• To compile payroll processing inputs for your employer's HR department.

4. Data Storage and Security

All data collected by the App is securely transmitted over HTTPS directly to the specific cloud or server environment hosted by your employer. No personal data is stored on public third-party servers, sold, or shared with external third-party advertisers.

We implement industry-standard technical and organizational security measures to protect the confidentiality, integrity, and security of employee records.

5. Account Deletion and Data Retention Rights

As an enterprise user, your account is provisioned and managed by your employer's HR department. If you wish to deactivate your mobile login credentials or request the deletion of your mobile app data history, you may initiate a deletion request through our central account deletion page:

Upon receiving a deletion request, we will verify the details and notify your employer's RSHRIS system administrator to deactivate your mobile application access and manage the deletion of historical location logs in accordance with company data retention guidelines and local labor laws.
